How to find cancelled COD orders in Shopify admin

Updated · 4 min read · Trifid Media LLC

To find cancelled COD orders, go to Orders in your Shopify admin and filter by Order status (Canceled) and a date range. Shopify's order filters don't include payment method, so to keep only the COD orders, export the filtered list and filter the Payment Method column for your COD method's name. Save the filters as a view so you can open the same list again in one click.

Step 1: Filter the order list

  1. From your Shopify admin, go to Orders.
  2. Add the Order status filter and choose Canceled.
  3. Add the Date filter. You can pick a range such as the last 30 days, the last 90 days or the last 12 months, or set a Custom range.

You can stack more filters on top. Two are useful for COD:

  • Destination, to see cancelled orders for one country, or one state or province such as a single emirate.
  • App, to tell online store orders apart from draft orders.

Step 2: Save the filters as a view

After you set the filters, click Save and give the view a name, for example "Cancelled orders". Next time, open the saved view instead of rebuilding the filters.

Step 3: Keep only the COD orders

The filter list covers order status, payment status, date, destination, tags and more, but not the payment method. Payment status doesn't help either: Shopify marks every order paid with a manual method as unpaid until you mark it as paid, so COD looks the same as any other manual method there.

If you only have a handful of cancelled orders, open each one and check how it was paid. For more than a few, export them:

  1. With your filters applied, click Export.
  2. Choose which orders to export, for example the current page or orders by date.
  3. Under Export as, choose a CSV format, then click Export orders.

Shopify downloads small exports (up to 50 orders, or the current page) straight to your device. An export by date is emailed to you and the store owner.

In the spreadsheet:

  • Filter the Payment Method column for your COD method's name. An order can have more than one payment method, so filter for cells that contain the name.
  • If you exported by date, you may get every order in that range, cancelled or not. Filter the Canceled at column to rows that have a date.

What is COD called in your orders?

The Payment Method column shows the name of the method the customer chose at checkout. Shopify reserves the name "Cash on Delivery (COD)" for its own COD option, and orders paid that way show that name. If you created your own manual method, your orders show that name instead, for example "Pay cash on delivery", or an Arabic name such as «الدفع عند الاستلام» ("payment on receipt").

Check a few recent COD orders to see the exact name. If you have changed the name over time, or offer more than one cash option, filter for every name.

Which export columns help most?

ColumnWhat it tells you
NameThe order number as it shows in your admin
EmailThe customer's email address
Created atWhen the customer placed the order
Canceled atWhen the order was cancelled
TotalThe order total
Shipping City, Shipping ProvinceWhere the order was going
Payment MethodHow the order was paid for

Sort by Email and repeat refusers stand out, because the same address appears on several cancelled COD orders. How to spot repeat refusers covers what counts as a pattern, and how to block COD for specific customers covers what to do next. Sorting by Shipping City or Shipping Province shows whether cancellations cluster in one place.

Is every cancelled COD order a refusal?

No. You may cancel an order because an item ran out, because the customer asked before it shipped, or because it looked fake. When you cancel an order, Shopify asks you to choose a Reason for cancellation. Choosing it with care, and adding a note to the order when the courier reports a refusal, makes your list easier to read later. Fake, refused, failed explains how to tell these apart.

Why do apps only see the last 60 days?

In your admin you can filter as far back as your store goes. Apps work under different rules. An app with Shopify's standard order permission (read_orders) can read orders created within the last 60 days. Older orders need an extra permission (read_all_orders), which apps built under a Shopify Partner organization have to request and get approved before they can use it.

The 60 days count from when the order was placed, not when it was cancelled. An order placed 70 days ago and cancelled last week is outside that window.

Khaleeji COD's refuser scan uses the standard permission. It looks at orders placed in the last 60 days that are now cancelled (up to 1,000 per scan), and counts an order as COD when its payment method name contains "cash on delivery" or «الدفع عند الاستلام», or is exactly "COD". Because the window moves, run the scan regularly. If your COD method has a different name, or you want history older than 60 days, use the export method above.
